How to Cut Pallet Freight Costs

On a bulk packaging order, freight is frequently the second-largest number on the invoice and almost always the least scrutinised. It is also more controllable than most buyers assume.

Freight is priced on space, not weight

This is the fact everything else follows from. A pallet of empty boxes weighs very little and occupies exactly as much trailer as a pallet of bricks. Carriers price the space.

In practice that means how you stack matters more than what you ship. A pallet built to 1.2 m costs roughly the same to move as one built to 2.2 m, so the second is carrying nearly twice the goods for the same money.

Build to the height the trailer allows

Ask your carrier for their maximum pallet height and build to it. Most road freight allows somewhere around 2.2 m including the pallet.

Short-stacked pallets are the single most common avoidable freight cost. If you are receiving pallets at 1.4 m that could safely be 2.0 m, you are paying for empty air above them on every delivery.

Two caveats. The load has to be stable at height, which is where proper wrapping earns its place. And a pallet too tall to be double-stacked in the trailer can cost the carrier more than it saves you — worth one conversation.

Consolidate deliveries

Four separate part-pallet deliveries over a month cost far more than one full pallet. Each consignment carries its own minimum charge, fuel surcharge and handling.

If you are ordering monthly out of caution, work out what quarterly would cost delivered and compare the totals rather than the unit prices. For packaging — which does not expire, and which you will certainly use — the answer is usually clear.

Know your delivery site's constraints before you order

These cost real money and they are entirely predictable:

• No loading dock or forklift — the delivery needs a tail-lift vehicle, which is a surcharge and sometimes a smaller truck.
• Restricted access — narrow lanes, low bridges, city centres with time windows.
• Booking-in required — if the carrier arrives and cannot deliver, you usually pay for the failed attempt and the redelivery.
• Residential address — priced differently from commercial almost everywhere.

Tell your supplier all of this at quotation stage. A surprise on the day is the most expensive way for any of it to surface.

What is actually negotiable

Less than people hope, and in a specific direction. Carriers price on lane, volume and predictability. A one-off shipper has almost no leverage; a regular one with consistent volumes has some.

The realistic lever is not haggling per consignment. It is committing to a pattern — a known quantity, on a known frequency, to a known address — which lets both the supplier and the carrier plan. That is worth more than any amount of pushing on a single quote.

Every item in our catalogue has its price ladder published, and freight is the one thing that is not — because it genuinely cannot be. The same 1,000 boxes cost very different amounts to move to a city-centre address with no dock than to a distribution centre on a motorway junction.
